Terms of Service

These Terms of Service (“Terms”) govern your use of the TenePass platform and related applications (the “Service”), operated by UnitedUnits B.V., Galvanistraat 1807, 3029 AD Rotterdam, The Netherlands (KvK 93504748). These Terms apply to both Applicants (Renters) and Screeners (Landlords, Agencies, or Hosts) using the Service to request, view, or manage certificates. By creating an account or using TenePass, you agree to these Terms and to our Privacy Policy.
Definitions
For clarity within these Terms:
- “Applicant” refers to an individual using TenePass to request, hold, or share a rental certificate.
- “Screener” refers to any verified landlord, agent, or host who accesses an applicant’s certificate through TenePass to review and assess a rental application.
- “Certificate” means the standardized digital record issued by TenePass reflecting a renter’s verified information and rental score.
- “Score” or “Rental Score” means the numerical result (0–10) generated within TenePass according to the scoring methodology described in these Terms.
- “Evaluation” means the structured process in which submitted Applicant information and documents are reviewed, verified, and scored using the standardized methodology applied by TenePass.
- “Service” means the TenePass platform, applications, and related tools used for creating, managing, and viewing certificates.
- “Evaluation Team” refers to authorized TenePass personnel or partners who review Applicant submissions and perform scoring in accordance with standardized rules and quality controls.
- “Apply Link” refers to a unique, secure link generated by a Screener that allows Applicants to share or attach their certificate directly to a specific property or application.
- “Account” refers to the individual or business profile registered within TenePass to access or manage the Service.
- “Screening Credits” means digital tokens or units within the TenePass platform that allow Screeners to view or access applicant certificates. Credits are non-transferable and expire as described within the Service.
1. Eligibility
The Service is available only to individuals who are 18 years of age or older and legally capable of entering into binding agreements. Business or organizational accounts for agencies, property managers, or similar entities must be created and maintained by authorized representatives. By accessing or using TenePass, each user confirms compliance with these eligibility requirements.
2. User Obligations
All users are required to provide accurate and truthful information in every submission, upload, or form completed within the Service. The submission of false, misleading, or fraudulent data may result in refusal of service, account suspension, or termination.
3. Fees and Refunds
3.1. Fees apply to certificate requests, reevaluations, subscriptions, and other paid features, including the purchase of screening credits used to view or access certificates.
3.2. Certificates, subscriptions, and screening credits are digital services. Once a certificate is issued, a subscription period has begun, or credits are added to an account, the service is considered delivered and is generally non-refundable. This reflects that digital evaluation and scoring services are fulfilled at the moment of issuance or activation, even if the result is later disputed or unused.
Refunds are granted only in limited cases where:
a) TenePass is unable to complete or deliver the requested certificate, subscription, or service, or
b) The issued certificate has not been used or viewed by any Screener within 14 days of issuance.
3.3. Subscription plans, if offered, renew automatically at the end of each billing cycle unless canceled before renewal. Users may manage or cancel their subscription at any time through account settings.
3.4. Refund requests must be submitted through the in-app ticket system or by contacting support@tenepass.com within the certificate’s validity period or the active subscription term.
3.5. Prices and billing terms are displayed at the time of order and may change without prior notice. Any change to subscription fees will take effect at the next billing cycle, with prior notice provided through the Service or by email.
4. Use of Certificates
4.1. TenePass issues a standardized rental score and certificate based on submitted information and verified data. Landlords, agencies, and other third parties remain fully independent in their rental decisions. TenePass does not guarantee that every party will accept a certificate and is not responsible for any rejection, preference, or differing decision made by third parties.
4.2. Certificates are intended for informational purposes only. They serve as tools that reflect rental readiness and are not legal opinions, credit reports, or binding documents.
4.3. Certificates may not be used as the sole basis for signing, rejecting, or enforcing rental agreements. Screeners are responsible for performing their own due diligence, background checks, and legal verifications before entering into any contract or transaction.
4.4. TenePass bears no responsibility for outcomes, agreements, or disputes arising from how a certificate or score is interpreted or used.
5. Acceptance of Scoring Methodology
5.1. The TenePass scoring methodology is a standardized framework used to calculate each rental score. It consists of weighted evaluation steps and decision groups that assign fixed scores based on verified information. This structure ensures consistency, fairness, and comparability across all Applicants and use cases.
5.2. Anyone requesting, reviewing, or relying on a TenePass certificate acknowledges that the score is generated according to this methodology.
5.3. The underlying weightings, criteria, and decision logic are proprietary to TenePass and may be updated periodically to improve accuracy, fairness, or compliance with applicable regulations.
6. Quick Check
6.1. The Quick Check is an optional simulation tool within TenePass that allows users to preview an estimated rental score without uploading or verifying documents. It is intended solely for personal reference and initial rental readiness assessment.
6.2. Quick Check results are purely informational, do not generate a certificate, and have no impact on any official evaluation.
6.3. Data entered into Quick Check is logged only with explicit user consent and is stored in anonymized form, as described in the Privacy Policy.
6.4. TenePass does not guarantee the accuracy, outcome, or suitability of Quick Check results for any specific use.
7. Visibility and Communication
TenePass enables controlled sharing of certificates and rental profiles between Applicants and Screeners.
7.1. Certificates and rental profiles are private by default. When a certificate is first issued, its visibility is disabled. It becomes visible only after the Applicant chooses to enable sharing and provides explicit consent through the dashboard.
7.2. Once visibility is enabled and consent is provided, the certificate and rental profile are considered public within the TenePass screening environment. This means they may be visible to verified Screeners through dashboards, listings, or search tools designed for applicant discovery and review.
7.3. Applicants can also share their certificates directly with Screeners through secure Apply Links, viewing links, or by providing the certificate number. When an Applicant uses an Apply Link, the associated certificate and rental profile are automatically shared with the Screener who created that link and become accessible within that Screener’s dashboard for review. Screeners may access and review shared certificates only through these official methods.
7.4. When a certificate or rental profile is enabled for sharing, it remains visible until the Applicant disables visibility or the certificate expires. If visibility is later re-enabled, the certificate and rental profile will reappear in Screener dashboards and related listings without change to their content or prior visibility history.
7.5. By sharing a certificate, Applicants also consent to being contacted directly by Screeners for legitimate rental-related purposes, including viewing invitations or follow-up questions. Communication remains subject to applicable privacy and communication settings within the Service.
7.6. Applicants remain in full control of their certificate and rental profile visibility and can hide or disable either at any time through dashboard settings. Once hidden, no new access is possible, although Screeners who previously viewed the certificate or profile may retain a record of that access.
7.7. TenePass facilitates the secure exchange of verified information but does not participate in or mediate any rental discussions, agreements, or outcomes that follow.
8. Prohibited Uses
8.1. The Service may not be used for any unlawful, fraudulent, or harmful activity.
8.2. Users may not attempt to access data, systems, or accounts other than their own, or interfere with the operation or security of the platform.
8.3. Certificates or documents may not be shared, copied, or distributed without the explicit consent of the applicant or TenePass.
8.4. Uploading or transmitting malware, unauthorized scripts, or content that infringes intellectual property or privacy rights is strictly prohibited.
8.5. Any use of the Service that could damage its integrity, reputation, or lawful operation may result in immediate suspension or termination of access.
9. Intellectual Property
9.1. All content, design, trademarks, software, data, and documentation available through TenePass are the intellectual property of UnitedUnits B.V. or its licensors.
9.2. Users are granted a limited, non-exclusive, non-transferable license to use the Service solely for lawful rental evaluation or certificate-related purposes.
9.3. No part of the platform may be copied, modified, reverse-engineered, sold, or reused without prior written permission from UnitedUnits B.V.
9.4. All TenePass trademarks, logos, and branding elements must not be used in any way that implies partnership, endorsement, or ownership without explicit consent.
10. Account Suspension and Termination
10.1. TenePass may suspend or terminate any account that violates these Terms, misuses the Service, or fails to comply with applicable laws, including data protection obligations.
10.2. Suspension or termination may occur without prior notice if immediate action is required to protect platform integrity, user data, or compliance with legal requirements.
10.3. In other cases, users will be notified and given reasonable opportunity to resolve the issue before access is restricted.
10.4. Termination of an account does not entitle the user to any refund for unused services, remaining validity periods, or previously added screening credits, as these digital services are considered fulfilled upon issuance or activation.
10.5. TenePass reserves the right to retain necessary information to meet legal, audit, or compliance obligations following termination.
11. Evaluation Integrity
11.1. All evaluations and score calculations are performed exclusively within the TenePass platform by an authorized evaluation team using predefined and standardized scoring rules.
11.2. Evaluations are guided by structured workflows that prevent subjective judgment, manual bias, or external influence.
11.3. Direct communication between applicants or Screeners and the evaluation team is not permitted. This separation ensures neutrality, protects privacy, and maintains the integrity of the scoring process.
11.4. Every evaluation is logged and auditable to verify compliance with internal standards, quality control procedures, and applicable regulations.
11.5. TenePass reserves the right to review or re-evaluate a certificate if a technical, procedural, or data error is identified.
12. Support
12.1. TenePass provides user support through the in-app help center and by email at support@tenepass.com.
12.2. Support covers platform functionality, account access, and general guidance on using the Service.
12.3. TenePass does not provide legal, financial, or rental advice, and support communications may not be interpreted as such.
12.4. While TenePass aims to respond promptly to all requests, no guarantee is made regarding response times, resolution speed, or continuous support availability.
12.5. In urgent or high-priority cases related to account security or data protection, users are advised to mark their request clearly so it can be prioritized.
13. Account Security
13.1. Users are responsible for maintaining the confidentiality of their login credentials and for all actions taken through their accounts.
13.2. Accounts must not be shared, transferred, or used by any third party without authorization.
13.3. TenePass employs industry-standard security measures to protect accounts but cannot guarantee absolute protection against unauthorized access.
13.4. If unauthorized use or a security breach is suspected, users must notify TenePass immediately through the in-app ticket system or by email at support@tenepass.com.
13.5. TenePass reserves the right to temporarily suspend or restrict access to affected accounts while investigating potential security incidents.
14. Third-Party Services
14.1. The Service may rely on or integrate with trusted third-party providers for functions such as hosting, payment processing, email delivery, analytics, or identity verification.
14.2. All third-party providers are selected based on their compliance with applicable data protection and security standards.
14.3. Each provider operates under its own terms and privacy policies. Users are encouraged to review those policies when interacting with linked services.
14.4. While TenePass exercises due diligence in selecting and monitoring third-party providers, it is not responsible for their independent actions, service interruptions, or omissions.
14.5. Use of third-party services through TenePass constitutes acceptance of the respective providers’ terms to the extent necessary for service delivery.
14.6. External links provided within the Service, including those to knowledge base materials or partner sites, are offered for user convenience only. TenePass does not endorse, control, or assume responsibility for the content, accuracy, or privacy practices of any external website.
15. Disclaimer of Warranties
15.1. The Service is provided “as is” and “as available.” TenePass makes no representations or warranties of any kind, whether express or implied, regarding the Service’s accuracy, reliability, or suitability for any particular purpose.
15.2. No guarantee is made that the rental score will secure housing, that access to the platform will be uninterrupted or error-free, or that all features will be available in every location or at all times.
15.3. TenePass disclaims all implied warranties of merchantability, fitness for a particular purpose, and non-infringement to the fullest extent permitted by law.
15.4. Any reliance on data, recommendations, or results generated through the Service is at the user’s own discretion and risk.
16. Limitation of Liability
16.1. To the maximum extent permitted by law, TenePass and UnitedUnits B.V. shall not be liable for any indirect, incidental, special, or consequential damages arising out of or related to the use of the Service, including loss of data, loss of income, or business interruption.
16.2. TenePass is not liable for rental decisions, outcomes, or disputes made by landlords, agencies, or other third parties, even if based in part on a TenePass certificate or score.
16.3. TenePass certificates and scores are strictly informational and must not be used as the basis for legal, contractual, or financial decisions. Users and Screeners are solely responsible for performing their own due diligence before entering into any agreement or transaction.
16.4. Liability is also excluded for losses caused by events beyond TenePass’s reasonable control, including technical failures, service interruptions, data breaches by third parties, or legal or regulatory restrictions.
16.5. In all cases where liability cannot be excluded, the total cumulative liability of TenePass and UnitedUnits B.V. to any individual user shall not exceed the total amount paid by that user for the specific service giving rise to the claim.
17. Force Majeure
TenePass is not liable for any delay, failure, or interruption in performance caused by events beyond its reasonable control. These may include natural disasters, power or network outages, cyberattacks, wars, government actions, or changes in law or regulation.
18. Changes to Terms
TenePass may update these Terms periodically to reflect operational, legal, or regulatory developments, or to introduce new features or improvements. Users will be notified of any material changes through the dashboard, in-app message, or by email to the address associated with their account before the updates take effect. Continued use of the Service after the effective date of updated Terms constitutes acceptance of those revisions.
19. Notices
All official communications or notices from TenePass to users are provided through the dashboard, by email to the registered account address, or by in-app message. Notices under Section 18 or any other communication from TenePass are deemed received at the time they are sent. Users are responsible for keeping their contact details accurate and up to date within their account settings.
20. Governing Law
These Terms are governed by Dutch law. Any dispute arising from or relating to the Service will be resolved exclusively by the courts of Rotterdam, The Netherlands.
21. Severability
If any provision of these Terms is held invalid or unenforceable, the remaining provisions continue in full force and effect.
22. Privacy Policy
Use of the Service is also governed by the TenePass Privacy and Cookie Policy, which explains how personal data is collected, processed, and protected. If these Terms and the Privacy Policy conflict, these Terms prevail for contractual matters.
23. Language
These Terms are provided in English. Translations may be offered for convenience, but the English version prevails in the event of inconsistency.
24. No Assignment of Accounts
Accounts are personal to the registered user and may not be assigned, transferred, or shared without prior written consent from TenePass.
25. Entire Agreement
These Terms and the Privacy and Cookie Policy form the entire agreement between the user and UnitedUnits B.V. regarding use of the Service and replace any earlier understandings or agreements. Any failure by TenePass to enforce a right or provision under these Terms shall not constitute a waiver of that right or provision.
26. Survival
Certain provisions of these Terms, including those relating to intellectual property, limitation of liability, and governing law, shall survive termination of the user’s account or these Terms. These continuing obligations remain enforceable to the fullest extent permitted by law.
